Job Purpose Summary:
Administrative Manager of Academic Affairs is responsible for managing the daily operations of the Office of Academic Affairs in order to promote the myriad and wide- ranging goals of the Office of Academic Affairs and the broader educational goals of KIMEP University. Responsibilities of this position include working with the A/VPAA in managing academic programs and executive education programs, monitoring course schedules and faculty teaching loads, assisting with faculty and student concerns, conducting research for special projects, overseeing college curriculum reviews, and directing the flow of information to international accreditation agencies and the Ministry of Education and Science and other governmental organizations. The position requires skills in interpersonal relations, communication, and organization of tasks.
Minimum Qualifications:
A Master's degree and background in higher education is preferred. Strong written, oral, and interpersonal communication skills as well as organization, problem-solving, and multitasking skills are required. At least three years of higher education administrative experience managing academic affairs projects and strong personal values including loyalty, integrity, honesty, and leadership for building a strong office team to support the work of the Office of Academic Affairs. Fluency in English and native fluency in Russian and/or Kazakh.
Key Responsibilities and Duties:
- When asked, serve as a representative of KIMEP University at Ministry of Education and Science for academic issues.
- Work with colleges, as requested by the colleges, in accreditation and attestation activities
- Assist Colleges as requested in the Development and coordination of program license applications
- Respond to requests for academic information from Ministry of Education and Science
- Process nostrification and recognition of equivalent qualifications according to the requirements of the Ministry of Education and Science including translation and notarization of documents for nostrification of KIMEP faculty
- Manage the timely and accurate completion of special research projects in areas of enrollment, institutional research, faculty teaching, student learning, peer analysis and faculty committee matters
- Prepare reports for the VPAA regarding college data analysis for the continuous evaluation and updating of academic programs
- Work with college departments and programs to complete projects in accreditation, program licensure and program review
- Review the hiring process/documents of adjunct faculty
- Draft replies to correspondence received by VPAA
- Review, summarize documents and prepare documents as assigned
- Serve on committees as assigned by the A/VPAA
- Supervise updates to course syllabi for academic course offerings
- Maintain and make Academic Council approved changes to the Academic Policies Handbook
- Maintain a positive working relationship with the Provost, Vice Presidents, and their staff in order to increase the success of students. .
Supervise and manage of Academic Affairs administrative staff
- Coordinate special events, speakers, and guests
- Work with students and faculty to resolve conflicts;
- Assist with general education assessment activities including the coordination of testing and surveys;
- Perform other duties as assigned by the VPAA/AVPAA

- Effectively work under pressure cooperating with personnel in the Office of Academic Affairs to complete the operations of the Office in a timely and accurate manner in spite of frequent interruptions and changing priorities.
- Support needs and problem-solving efforts of special academic programs within the University.
- Communicate appropriately in potentially volatile situations.
- Understand legal issues as they relate to higher education.
- Meet deadlines with minimal or no direction.
- Identify and analyze a variety of issues and problems, making recommendations and/or taking action to resolve them.
