KIMEP, Division of Academic Affairs is looking for applicants to the following position:
Job Title: Sr. Coordinator
Department: Academic Affairs
Position reports to: Vice President of Academic Affairs (VPAA)
Key responsibilities and Duties:
- Assists the VPAA and Director in daily operations;
- Receives visitors/ students/ parents, if necessary, explains, processes, procedures, etc.;
- Assists in organization of events, seminars, conferences and workshops;
- Communicates with Executive staff, other KIMEP employees, administrative support staff, and outside people regarding meetings. Responsibility also includes ordering and setting up refreshments;
- Coordinates and makes all travel arrangements and car reservations for the VPAA;
- Assists the VPAA with special projects, and development of procedures and processes to assist each department run smoothly;
- Responds to e-mail messages from students, faculty, staff; informs the VPAA on daily basis;
- Coordinates office activities and appointment schedules and calendars, arranges meetings,
develops and recommends office procedures and systems, ensures smooth office operations;
- Receives and distributes incoming mail, reviews and evaluates mail to identify those items requiring priority attention to the supervisor, requests additional information to support incoming mail, if necessary, prior to reporting and mail distribution daily
- Processes payment invoices, prepares expense reports, procurement of office supplies;
- Receives and screens communications to the VPAA, including telephone calls and e-mail messages and provides assistance using independent judgment to determine priority attention; prioritizes and facilitates communication from department heads, department assistants;
- Independently responds to letters and general correspondence of a routine nature;
- Performs other duties as assigned by VPAA or Director.
- Demonstrate professional work ethic, enthusiastic, dedicated to service quality and operational efficiency and effectiveness.
Qualifications: Bachelor's degree with 3 (three) years of relevant experience, fluency in verbal and written English, Russian and Kazakh (optional); possesses excellent judgment, intuition, reasoning, written/verbal skills, prioritizes and maintains confidential work of Academic Affairs; works cooperatively with others in a busy environment; advanced computer skills in Microsoft Office suite, Access, etc.; tact; poise, outstanding interpersonal skills.
