The College of Social Sciences is looking for applicants for the following position:
Job Title: Academic Program Coordinator
Division: College of Social Sciences (CSS)
Position reports to: Dean/Associate Dean of CSS; Administrative Manager
Job Purpose Summary:
Reporting to the Dean or Associate Dean of CSS and collaborating with the Administrative Manager of the College. The holder of this position interacts closely with the Dean’s Office, department chairs, and faculty. Main responsibilities include providing support to the academic programs and administratively overseeing the departments hosted at the College of Socials Sciences. The Academic Program Coordinator: 1) is the main contact person for students and the college community. 2) works directly with the faculty of the college and facilitates their academic work; 3) plans, coordinates, and implements such activities as student outreach, student advising in direct coordination with chairs, student recruitment, student orientation, oversight of interns, workshops, student referrals to services, information collection, analysis of students’ performance, and other support services necessary for successful program implementation.
The job requires excellent skills in organization and planning, in-depth knowledge of academic policies, regulations, rules, and the curricula of the different programs.
Key Responsibilities and Duties:
- Works closely with the department chairs, the dean and the associate dean;
- Provides the departments' services to ensure that program goals and objectives are achieved;
- Advises students on academic choices and facilitates implementation (for example, change of program, election of majors and minors, transfer of credits after exchange programs and transfer between institutions);
- Advises students on study planning in consultation with Department Chairs taking into account scheduling decisions and program policies of the different departments;
- Prepares the schedule in cooperation with the department chairs and in consultation of the Dean’s Office and uploads the schedule to the registration system;
- Consults with the department chairs and the Dean’s Office (if necessary) on changes to courses and programs, course scheduling, and graduation requirements.
- Checks and verifies degree requirements/majors/minors of graduating students; ensures timely submission of documents related to state examinations and thesis defense (forms, minutes etc)
- Liaises with registrar’s office to ensure the accuracy of records;
- Advises on program development in relation to government regulations;
- Exchanges information with campus offices and entities, students, and the general public regarding college programs and services and other information; makes presentations as requested; plans and conducts workshops and orientations as requested; coordinates logistics and establishes timelines, required materials, online support services, facilities, publicity and other program needs;
- Serves as liaison between program participants and various instructional and student services departments; refers students and clients to community, academic and student services, leads and coordinates the work of student assistants, interns and other staff as assigned;
- Conducts surveys, collects and compiles statistical, financial, academic and other data for regular and special reports to track student profiles and participation, student follow-up, retention and transfer rates, program evaluation criteria, scholarship availability and deadlines, and other information;
- Enters, modifies and retrieves online data; uses a variety of software to compose correspondence, publicity materials, surveys, reports, presentations, and other materials; sets up and maintains confidential and other files; editing, printing, multimedia enhancements, distribution and other services in conjunction with other staff or students;
- Coordinates the administration of intakes in cooperation with Admission Office; transfer credits for prospective students in collaboration with the dean and the department chairs; liaises with student services for the purpose of facilitating student success; refers students to career and other counselors, instructional programs and to other college offices as appropriate;
- Ensures compliance to policy and procedures by reporting progress to relevant entities;
- Takes over tasks from other administrative staff of CSS as operationally necessary, for instance, share responsibilities for program accreditation, ESUVO, Atameken reporting and other assignments;
- Produces brochures and other program related information for publication;
- Performs other related duties as assigned by the dean or administrative manager.
Minimum Qualifications:
- Master’s degree in management/administration/education from a recognized university;
- 3 years of experience in education administration, counseling, or other relevant fields;
- Familiarity with different academic credit systems of higher education;
- Leadership and organizational skills;
- Strong interpersonal communication skills with diverse populations such as staff, students, parents and faculty;
- Excellent writing and oral communication skills in English, Russian, and Kazakh;
- Experience in directing the work of others;
- Experience using spreadsheets, charts and a variety of computer software to format, compose and present statistical data and reports including researching, formatting, assessing and preparing data for reports and other materials;
- Experience in developing surveys and online reports related to students’ statistics, students’ retention and scheduling.
- Creative, strategic and analytical thinking with the ability to manage multiple projects.
- Good computer skills;
- Punctual, flexible, customer-oriented
Desirable Qualifications:
- Master’s degree in management/administration/education from a Western university or
equivalent;
- Knowledge of Kazakh language.
- Previous administrative experience at Higher Education Institution
