KIMEP is looking for INTERNAL applicants to the following temporary position:
Job Title: Deputy Registrar
Department: Academic Affairs
Section/Unit: Registrar’s office
Position reports to: The Registrar
Job Purpose Summary: The Deputy Registrar provides strategic and operational leadership in academic administration, student services, and student information systems. The position supports the Registrar in managing student lifecycle processes, academic records, registration, and regulatory compliance while overseeing the administration and continuous improvement of the University's student information systems and databases. The role also supervises Registrar's Office operations, leads software development and process automation initiatives, ensures data integrity and system security, and provides high-quality services to students, faculty, and external stakeholders in accordance with University policies and regulations.
Key Responsibilities and Duties:
- Administration of the current registration system, testing of the of the newly developed software, modify and remove problems as regards software, provide advice/training on utilization of the newly developed software to users;
- Handle ‘difficult’ students and parents (those who have difficulties with consent about the existing policies), Individual work with students, parents, visitors;
- Serve as an information resource for students in the matters of academic and administrative issues;
- Provide students with general academic counseling and help in contacting academic advisors, guidance and support, if needed;
- Serve as information liaison between the Office of the Registrar staff and KIMEP management (Registrar, College Councils, Dean of Student Affairs, Executive Committee, KIMEP Council), attends meetings of other committees as required;
- Liaise with the Ministry of Education, National Test Center and other state bodies, if required;
- Develop new policies and track them down to be included into revised versions of the KIMEP Catalog;
- Coordinate data collection from the colleges regarding the courses/schedule and manage the entire registration process, including accrual for items, students’ semester load; etc.;
- Work with the catalog – check and entry data regarding the all programs’ requirements into the system, including the program credits, all courses (new and old), majors, minors, graduation requirements and etc.;
- Maintenance of student records, classroom scheduling, and related functions;
- Monitor developments in technology and maintains technological systems to support registration;
- Manage cross-divisional issues such as grade reporting, evaluation of transfer credit, etc.;
- Perform research activities related to the Office of the Registrar activities in particular and higher educational institutions in general to improve the current policies;
- Oversee work of the Registrar’s Office staff. Supervise the day-to-day business of the office. Direct various personnel functions for the office including hiring, performance appraisal, vacation scheduling, etc.;
- Administer and manage office inventory materials. Responsible person for all Registrar’ office inventories. Deal with the accounting office for any write-off or purchasing issues;
- Serve as overall ‘trouble-shooter’ to all divisions of the Office of the Registrar;
- Discussing, verification, monitoring, controlling data prepared by staff;
- Keep informed of and adopt, if necessary, policies of western universities;
- Keep office supplies organized and in stock;
- Perform other duties as might be assigned by the Registrar;
- Integrate and maintain Mini-MBA program records into the Registrar database (all records, starting from program foundation) and ensuring that the program meets policy requirements (registration, scheduling, grading, payment, graduation and issuance of certificates/diplomas and other relevant processes)
Qualifications: Higher education; at least 3 years of experience in Registrar field; knowledge of credit educational technologies; fluent English; computer skills – MS-Word, Excel, Access; SQL; staff managerial and leadership skills; client-oriented, strong communication and organizational skills, ability to handle several tasks simultaneously and prioritize these tasks in an effective manner, attention to details, responsibility.
