KIMEP is looking for INTERNAL applicants to the following temporary position:
Job Title: Coordinator (tuition and refund, registration, final exams, automatization of online tools and technical support of DB)
Department: Academic Affairs

Job Purpose Summary: The Coordinator of the Registrar's Office is responsible for coordinating the day-to-day operations of the Registrar's Office to ensure the efficient delivery of academic administrative services. The role oversees the administration of student records, course registration, enrollment processes, academic scheduling, graduation requirements, and transcript and certification services. The Coordinator provides guidance and support to students, faculty, and administrative departments, ensures compliance with University policies, academic regulations, and applicable legislative requirements, and contributes to the continuous improvement of Registrar's Office processes and service quality.
Key Responsibilities and Duties:
- Prepare of the database for on-line Registration for students and for faculty, inputting the information about courses, schedule, prerequisites, enter KIMEP Catalog changes into database;
- Track and inserting of the information into the database regarding the students, instructors and course registration;
- Schedule changes processing during the registration period;
- Process students’ forms regarding refunds and registration through Workflow;
- Collect of information from faculty members and Scheduling of the Final Examinations;
- Collect of Final exams and Thesis defense protocols from Colleges;
- Support of Online Protocol Submission tool in cooperation with the CISC;
- Prepare of the personal Schedule for the students and instructors,
- Update of the information on classes, Prerequisites, halls, limits, number of sections offered, etc.
- Monitor of the schedule in accordance with the KIMEP Schedule rules;
- Analysis of the registration results and making of recommendations for improvements of registration process, for future course planning by using the available equipment, rooms;
- Check data on students registration, prerequisites, retakes, prices per course, time conflicts between classes, tutorials, etc.;
- Prepare database for late registration period;
- Monitor of students’ debts for each installment and the charge of the Late Payment Fees.
- Verification of all information on students’ payment on late registration fee, exceptional cases, waivers for late fee, etc.;
- Track and verify of “Tuition to Pay” information for tuition refunds;
- Track and advise students, Withdrawn for Administrative reasons in case of Reinstatement;
- Maintain of the constant liaison in cooperation with the Accounting Office on students’ registration, tuition payment and debts;
- Import of the data from Admission office about students admitted and submission of the data to necessary tables in Registrar Database;
- Consider and furthering of requests with exceptional reasons (Hardship withdrawal, Military reasons) regarding the refunds through Free form requests;
- Statistical report to Audit and the Accounting Departments about the fee charges;
- Check and monitor the cases of Withdraws and Retakes of students with Fixed Prices;
- Creation, development and troubleshoot different online tools and requests related to students’ registration, advising, and academic policies and rules in collaboration with Computer Center;
- Monitor and control of proper work of Hall reservation system to avoid time clashes;
- Monitor and control of proper work of all online processes regarding student's services;
- Advice students on any arising problems;
- Perform other duties as might be assigned by the Registrar.
Minimum Qualifications:
Higher education; experience in Registrar field; knowledge of credit educational technologies; fluent English; computer skills – MS-Word, Excel, Access; SQL; staff managerial skills; client-oriented, strong communication and organizational skills, attention to details, responsibility.
Preferred Qualifications:
Knowledge of the Kazakh language, experience in managing databases; a degree/training in IS, IT programming, Information Science, or Mathematics; knowledge of KIMEP policies and procedures.
