General Education Program, CHSE is looking for applicants for the following position:
Job Title: Assistant
Division: Academic
Department: CHSE, GE
The position reports to: Associate Dean for General Education
Key Responsibilities and Duties:
- Perform clerical and administrative tasks including drafting letters, memos, reports, and other documents for Associate Dean of GE;
- Schedule and attends meetings, taking notes and recording minutes;
- Receive incoming communication or memos on behalf of associate dean’s office, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff;
- Perform office tasks including maintaining records, answering phones, and maintaining Associate Dean’s and college calendars;
- Receive student requests and process them;
- Provide academic advising to students regarding GE requirements and course registration;
- Manage, organize and update data using database applications;
- Translate documents as necessary;
- Assist with the preparation and conducting recruitment events such as Open House Days;
- Assist with the preparation and conducting various exhibitions, student events, conferences and other college events;
- Maintain schedules for Associate Dean of GE for academics purposes;
- Assist in the process of selection of new faculty members;
- Perform additional duties as assigned by Dean and Associate Dean of GE.
Required Qualifications:
- Bachelor's degree with 2 years of administrative experience;
- Excellent verbal and written communication skills;
- Excellent organizational skills and attention to detail;
- Excellent time management skills with a proven ability to meet deadlines;
- Ability to function well in a high-paced and at times stressful environment;
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems;
- Extremely proficient with Microsoft Office with the ability to learn new or updated software;
- Fluent English, Russian, and Kazakh;
- Excellent typing skills.
Preferred Qualifications:
Master's degree, with 2 years of administrative experience
